Youth member participation at Events: When planning attendance at an event where youth members will be present, ensure the following: A risk assessment is conducted prior to the event, which includes looking at potential child safe practice and compliance 2 adult members are available to supervise the cadets at all times Transport procedures are adhered to as outlined in this document Rollcall is conducted at the start of the event and cross referenced to the roster, if a youth member is rostered to attend an event but does not arrive a Supervisor must make contact with the parent/guardian A child protection briefing is given to all Members working at the event. First Aid in Schools When delivering the first aid in schools program, members are required to adhere to the school policies and procedures. Members must never be left alone with the students and should remain in the presence of the teacher at all times. All First Aid in Schools volunteers must ask for permission from any child participating in first aid demonstrations. Overnight Activities involving Youth Members: When arranging overnight activities/ camps for Youth members, the policies and procedures for these activities and approval process must be adhered to. In particular in relation to child safety the following is required: Risk Assessments: A risk assessment is to be conducted prior to each overnight event/activity. This will include the identification of anything that may prevent child safe practices being followed e.g. sleeping configurations, member to child ratios, etc. Venues: Only approved child safe venues are to be used. These venues have been risk assessed and support child safe practices. A list of these venues is held by the Youth Development Officer. Members may request an assessment to be undertaken of venue to ensure it gets onto the list.
Leadership and member roles: All members attending and participating in overnight activities must have completed the full day Child Safe Training Course and have an up to date national police clearance. A leadership structure with clear roles and responsibilities must be in place and communicated with members and participants. Visitors: All visitors must be supervised at all times. No visitor can remain for more than 12 hours or stay overnight. Safety Briefings: As part of the general safety briefing, all members, participants and visitors must be briefed on the child protection procedures at the start of the camp/ activity. If a member or visitor joins the activity during the event and is not there for the initial briefing, a private briefing must be held and delivered by the leader on site. Sleeping arrangements: The following best practice procedures apply to sleeping arrangements: 3 adults of the same sex must be sleeping within the same room as the children, or if not possible, immediately outside the room with the door open and with full view of all children. If this cannot be adhered to for a particular venue, approval may be granted by the CVPO Officer for an exemption, following a sleeping plan being submitted for consideration. Showering: The following applies for showering at overnight events/activities: Separate showers or designated showering times for Adult members and children Where possible separate showering times for age groups (8-13, 14-18 years) Members are required to remain outside the showers while child are showering, but ensure that children are escorted back from showers with 2 adults. Toileting: Two adults must be in sight lines while a child goes to the toilet. Members are required to No mixed sex sleeping arrangements Segmentation by age (where feasible) is recommended – 8-13, 14-18 years
